And it is a fair one. You are planning an event, you have a budget, and you need to know whether professional medical coverage fits into it.
Here is the honest answer: event medical coverage is not priced like a vendor package. There is no rate card, no per-hour fee that applies to every situation, and no standard number we can give you before we know anything about your event. What it costs depends almost entirely on what your event actually needs.

Every event starts with a conversation, not a quote
When someone reaches out to AccuCare Event Medical, the first thing we do is ask questions. Not because we are stalling, but because the answers determine everything.
A 200-person corporate dinner in a climate-controlled ballroom has a fundamentally different medical risk profile than a 5,000-person outdoor music festival in July. A youth soccer tournament has different considerations than a professional sporting event. Sending the wrong coverage to either one, too little or too much, does not serve anyone well.
The conversation we have with you is not a sales call. It is a risk assessment. And it shapes everything that follows.
What we actually look at
Crowd size and density. Larger crowds mean more potential medical incidents, more ground to cover, and more complex logistics. A 500-person event and a 10,000-person event are not just different in scale, they require fundamentally different staffing plans.
Venue and layout. An outdoor festival with multiple stages and limited shade creates different challenges than an indoor arena with controlled access points. We look at how people move through the space, where they concentrate, and where our team needs to be positioned to respond quickly.
Event type and activity level. A seated concert is different from a road race. A corporate gala is different from a youth football tournament. Physical activity level, alcohol service, and the demographics of your attendees all shape the risk profile.
Duration and timing. A two-hour event and a three-day festival require different levels of staffing and logistics. Time of day and season matter too, a midday outdoor event in August carries a higher heat risk than a Saturday evening in October.
Distance to the nearest hospital. We factor in transport time when building your plan. If your venue is close to a trauma center, the calculus looks different than if you are running an event in a more remote location.
What staffing actually looks like
Once we understand your event, we recommend a staffing configuration. That might be a single EMT for a small, low-risk gathering. It might be a paramedic-led team with BLS and ALS capabilities for a large outdoor event. It might include an ambulance on standby for elevated-risk situations.
We are licensed through the Missouri Bureau of EMS as an Emergency Medical Response Agency, which means our teams operate under defined medical protocols with physician oversight. That is not a credential most staffing companies can claim, and it matters when something serious happens.
What we bring to every event, regardless of size, includes fully stocked medical bags, AEDs, oxygen, and direct coordination with local EMS before your first guest arrives. The size of the team scales. The standard does not.
What the process looks like from first call to event day
Initial conversation. You reach out, we ask questions. We want to understand the event, the venue, the crowd, and what you are hoping medical coverage looks like. This takes 15 to 20 minutes and sets the foundation for everything else.
Proposal. Based on what we learn, we put together a coverage recommendation. This is where you see what we are proposing, what it includes, and what it costs. Nothing is generic, it is built around your specific event.
Plan development. Once we are aligned, we build the medical plan. That includes team positioning, communication protocols, coordination with venue security, and a clear chain of escalation if something requires hospital transport.
Event day. Our team arrives before your guests do. They know the venue, they know the plan, and they are positioned before your first guest walks through the door. From that point forward, your job is to run your event. Ours is to make sure everyone gets home safely.
What this typically means for your budget
We are not going to publish a price list here, and the reason is not evasion. It is that a number without context is not useful to you. A figure that is right for a 3,000-person outdoor concert is wrong for a 150-person private event and giving you one without knowing which you are planning sets the wrong expectations.
What we can tell you is that professional event medical coverage is not as expensive as most people assume before they ask. And the cost of not having it, in liability exposure, in reputational risk, in the real human cost of an incident that goes unmanaged, is significantly higher.

Frequently asked questions about event medical coverage costs
Do you publish pricing or rate sheets? We do not, because coverage is built around each event individually. What we charge for a large outdoor festival is different from what we charge for a private corporate event, and publishing a number without that context would be misleading. The fastest way to get accurate information is to reach out directly.
Is event medical coverage required for my event? Requirements vary by event size, venue type, and local jurisdiction. Some venues require licensed medical coverage as a condition of use. Regardless of what is legally required, event organizers carry a duty of care to provide a reasonably safe environment for attendees. On-site event medical coverage is one of the most direct ways to meet that responsibility.
How far in advance should I book? As early as possible. Popular dates in the St. Louis event calendar fill quickly, and building the right coverage plan takes time. We recommend reaching out at least four to six weeks before your event, and earlier for large or complex events.
What is the difference between BLS and ALS coverage? Basic Life Support (BLS) coverage includes EMTs trained in emergency response, CPR, AED use, and basic medical interventions. Advanced Life Support (ALS) adds paramedics with the ability to administer medications, perform advanced airway management, and provide a higher level of emergency care on site. The right level for your event depends on your risk profile, something we assess as part of every coverage plan.
